How to create a sales order online

Think of this as a sales order form you fill in on screen. You can make a sales order on a phone or a computer, and the totals, tax and any discount or delivery charge are worked out for you.

  1. Add your business details and the customer's, then enter the customer's purchase order number if they sent one.
  2. Add each item with its quantity and price, set the tax, and fill in the delivery address, expected delivery date and payment terms.
  3. Pick one of the 13 designs, download the PDF and send it to the customer to confirm the order.

What is a sales order?

A sales order is the seller's confirmation of what a customer ordered: the items, the prices and the delivery date. You send it after the customer accepts your quote or sends you a purchase order, so both sides agree on the details before anything is packed or delivered.

Some businesses call it an order confirmation. It also gives your own team one clear record to pick, pack and deliver from.

Where a sales order fits

Most orders move through the same documents, in this order:

  1. Quotation: the seller offers a price.
  2. Purchase order: the buyer places the order.
  3. Sales order: the seller confirms what will be supplied.
  4. Delivery note: travels with the goods.
  5. Invoice: the seller asks for payment.

What to include in a sales order

A clear sales order format lets the customer check every line against their own order. These are the fields you can fill in:

  • Your business details: name, logo, contact details and registration number
  • The customer's name, email, phone and address
  • A sales order number and the order date
  • The customer's purchase order number
  • The delivery address
  • Each item, with a description, quantity and unit price
  • Tax, plus an optional discount and delivery charge
  • The total
  • The expected delivery date
  • Your payment terms
  • Notes for the customer
