How to make a deposit invoice

The form above works out the deposit for you. You only need the full price and the share you want upfront.

  1. Add your details, the client's details, and the full job as line items, with tax if it applies.
  2. Open the invoice details and choose a percentage or a fixed amount for the deposit. The invoice shows the project total, the deposit due now and the balance remaining.
  3. Set a due date, add your banking details, pick one of the 13 designs, and download the PDF.

What is a deposit invoice?

A deposit invoice asks for part of the price before the work starts. It is also called an advance payment invoice or an upfront payment invoice.

It protects you when you must buy materials or turn other work away, and it shows the client is committed. A common example is an invoice for a 50% deposit, with the other half due on completion.

Agree the deposit before you send the invoice. Put the amount or percentage on your quote, so the deposit invoice holds no surprises and the client can pay it straight away.

How to show the deposit on the final invoice

When the job is done, the final invoice lists the full price, then subtracts the deposit already paid. For example:

  • Project total: 2,000
  • Deposit of 30% already paid: 600
  • Final invoice: 2,000 less 600 paid, leaving 1,400 due

Quote the deposit invoice number on the final invoice so the client can match the two payments. On a long job you may send more than one deposit or stage invoice. List each payment received on the final invoice, so the amount still due is easy to check.

Yes. There is nothing to pay, no sign-up, and no watermark on the PDF you download.

Is there a free deposit invoice template?

Yes. The form on this page is ready to fill in: complete it online and save it as a PDF. It does not give you a Word or Excel file.

Where is my deposit invoice data stored?

It stays in your own browser on your device. Nothing you type is sent to or stored on our servers.

How much deposit should I ask for?

There is no fixed rule. Many service businesses ask for between a quarter and a half of the price upfront, and more when they must buy materials first.

Is a deposit refundable?

That depends on your agreement with the client and on local consumer law. State your refund terms on the quote or the deposit invoice.
