How to create a remittance advice

Fill in the form above and the total paid is added up for you as you go. It works on a phone or a computer, and you can send the PDF as an email attachment or print it as a remittance slip to go with a cheque.

  1. Add your business details as the payer and the supplier's details as the payee, then enter the payment date, method and reference.
  2. Add one line for each invoice you are paying: its number, date and amount, any deduction or discount, and the amount you paid.
  3. Check the total paid, pick one of the 13 designs, then download the PDF and send it with your payment.

What is a remittance advice?

A remittance advice is a note the payer sends to a supplier to say a payment has been made and which invoices it covers. It helps the supplier match the money to the right invoices, which matters when one bank payment settles several of them.

It is a notice, not proof that the money has arrived. Some businesses call it a payment advice.

What to include in a remittance advice

A clear remittance advice format lets the supplier tick off each invoice without having to call you. The form lets you add:

  • Your business name, logo and contact details as the payer
  • The payee's name, email, phone and address
  • A remittance number and the payment date
  • The payment method and the payment reference
  • One line for each invoice paid, with its number, date and amount
  • Any deduction or discount taken on that invoice
  • The amount paid on each invoice
  • The total paid
  • Optional notes, for example the reason for a deduction

Remittance advice vs receipt

The two documents come from opposite sides of the same payment:

Frequently Asked Questions

Is this remittance advice generator free?

Yes. It is free to use, you do not need an account, and the PDF comes without a watermark.

Is there a free remittance advice template?

Yes. The form on this page is a ready-made one: fill it in online and download a PDF. You get a PDF, not a Word or Excel file.

Where is my remittance advice data stored?

It stays in your browser on your own device. Nothing is uploaded to or saved on our servers.

Who sends a remittance advice?

The business making the payment sends it to the supplier being paid.

Is a remittance advice proof of payment?

No. It says a payment was sent. The bank record or the supplier's receipt is the proof.

What is the difference between a remittance advice and a receipt?

The payer sends a remittance advice. The person who was paid issues a receipt once the money arrives.

Do I have to send a remittance advice?

It is not normally a legal requirement. It is good practice when one payment covers several invoices, or when you pay less than the full amount.

Can one remittance advice cover several invoices?

Yes. List each invoice with its number, its amount and the amount paid, then show the total.
